Protect your data from email archiving secrets

Psst. Do you know these email archiving secrets?

You better! Your intellectual property and your business could be at risk otherwise…

Some of the most popular, widely-used email archiving platforms include restrictive data preservation, search and export limitations that make it time-consuming, expensive and hard (maybe even impossible!) to meet demands for data. For most businesses, this type of basic email archiving functionality typically isn’t enough to meet legal, regulatory and data governance requirements.

Know the email archiving secrets – and avoid the limitations that substantially increase the risks and costs associated with email management, compliance and discovery.

Secret #1 – Your archived data may be editable
Some archives allow data to be edited. Fail! That defeats the whole point of data preservation.

Look for an advanced email archiving solution that protects data with the integrity and security of industry-leading safeguards and protocols, including immutable WORM-compliant storage, SSL encryption for data in transit and AES-256 encryption for data at rest.

Secret # 2 – Your data may be hard to find and retrieve
Some archives only provide a couple search options and are loaded with limitations. That’s a huge pitfall, considering search tools should provide granularity to help find exactly what you need quickly.

Look for an advanced email archiving solution that performs wildcard, Boolean, fuzzy logic, custom query and proximity searches. There should be no limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches. Plus, keyword statistics should be rendered for all searches.

Secret #3 – Your data may need to be converted
Some archives allow data to be exported only as a PST or proprietary file type; data must often be converted to another format. That’s a huge and avoidable pain; archived data should be quick and easy to export for compliance, discovery and other needs.

Look for an advanced email archiving solution that enables flexible data export as PST, EML, NSF, PDF, HTML and TXT files. An archive should support the way you work rather than forcing you to adapt to its limitations.

As you can see, with an advanced cloud-based email archiving solution, you get added capabilities related to data protection, search and flexibility that help your business cost-effectively meet data demands and lower institutional risk:

• Automatically secure and preserve every inbound and outbound email and file attachment
• Find and retrieve exactly what you need in seconds with fast and accurate search tools
• Quickly and easily filter, tag and export relevant content

Stop wasting time and money on compliance, legal and governance requirements. Start protecting your intellectual property and your business from unnecessary risk. Preserve your valuable business data with an advanced email archiving solution.

Don’t be fooled by inferior email archives

By

Don’t be fooled by inferior email archivesHave you heard the one about the secretary of state, the private email server and the delete button? If so, you know that it’s not an April Fools’ Day joke. It’s the latest (avoidable) email scandal – and it should make you think twice about protecting your business data.

Is the intellectual property in your emails, file attachments and other electronic business communications completely protected? With so much confusion about cloud archiving facts vs. myths, you better be absolutely sure!

Take advantage of added benefits and functionality
No matter the day of the year, the serious fact remains the same: Basic email archiving functionality just isn’t enough for most businesses.

If you’re missing an advanced cloud-based email archiving solution, you’re missing added data protection, search capabilities and data flexibility.

Automatically secure and preserve every inbound and outbound email and file attachment…

Find and retrieve exactly what you need in seconds with fast and accurate search tools…

Quickly and easily filter, tag and export relevant content…

Stop wasting time and money on compliance, legal and governance requirements!

Overcome the limitations of restrictive platforms
Some of the most popular, widely used email archiving platforms include restrictive data preservation, search and export options that make it time consuming, expensive and hard to meet the ongoing and growing demands for data.

Ask these questions to avoid being fooled by inferior email archives:

• Is every inbound and outbound message preserved using immutable WORM-compliant storage?
• Is indefinite access to deleted items provided?
• Does deleted data remain searchable and downloadable?
• Is a wide range of file types indexed and archived, including video, audio and image files in emails and attachments?
• Can wildcard, Boolean, proximity, fuzzy logic and custom query searches be performed?
• Are there limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches?
• Are keyword statistics rendered for all searches?
• Can search results be filtered, tagged and exported as needed?
• Can data be exported as PST, EML, NSF, PDF, HTML and TXT files?

Effectively preserving and searching data – and being able to easily retrieve it as needed – reduces the costs and risks of compliance, discovery and doing business.

Evaluating an email archiving solution

By

Evaluating an email archiving solutionDoes your business automatically secure and preserve every inbound and outbound email and file attachment?

Can you find and retrieve exactly what you need in seconds with fast and accurate search tools?

Are you able to quickly and easily filter, tag and export relevant content?

If not, you’re wasting time and money on compliance, legal and governance requirements.

When it comes to email archiving, basic functionality typically just isn’t enough anymore for most modern businesses.

Here’s the problem: some of the most popular, widely used email archiving platforms include restrictive data preservation, search and export options that make it time consuming, expensive and hard to meet the ongoing and growing demands for data. Those limitations have the potential to substantially and seriously increase the risks and costs associated with email management, archiving, compliance and discovery.

Here’s the good news: advanced cloud-based email archiving solutions provide businesses with added benefits and functionality, including added data protection, search capabilities and data flexibility.

Effectively preserving and searching data – and being able to easily retrieve it as needed – reduces the costs and risks of compliance, discovery and doing business in general.

Here are some major considerations when evaluating a cloud-based email archive:

Data Preservation – Protect the right information
Some archives allow data to be edited. Some archives provide access to deleted mailbox data for only a short time. Some archives support a very limited number of file attachment types.

Look for a solution that:

  • preserves every inbound and outbound message using immutable WORM-compliant storage
  • provides indefinite access to deleted items; data should remain searchable and downloadable
  • indexes and archives a wide range of file types, including video, audio and image files in emails and attachments

Search – Find exactly what you need quickly
Don’t settle for just wildcard and Boolean searches. Take advantage of the other search options available and the granularity they provide.

Beware of search limitations.

Look for a solution that:

  • includes proximity, fuzzy logic and custom query searches
  • provides no limitations on the number of mailboxes per search, volume of results per search or number of concurrent searches
  • renders keyword statistics for all searches

Data Flexibility – Filter, tag and export relevant content
Some archives have zero flexibility: export of search results is all or nothing; individual messages and attachments can’t be downloaded. Some archives allow data to be exported only as a PST or proprietary file type; data must often be converted to another format.

Look for a solution that:

  • provides the ability to filter and tag search results and export only and exactly what you need
  • enables flexible data export as PST, EML, NSF, PDF, HTML and TXT files

Search makes or breaks compliance and discovery

Search makes or breaks compliance and discovery

Can you quickly and easily find and access the business data in your email for discovery and other purposes?

With today’s mounting regulatory, legal and governance requirements, the answer better be “yes.” Powerful and comprehensive search capability is a must for any modern business.

The truth is that basic email archiving functionality isn’t enough anymore, especially when it come to search.

Due to over collection and under collection, search limitations can substantially increase the risks and costs associated with compliance and discovery. But they don’t have to! The more advanced cloud-based email archiving solutions provide businesses with added benefits related to information management functionality, including unlimited search, unlimited retention and superior search.

Effectively preserving and protecting data – and being able to easily search and retrieve it as needed – reduces the costs and risks of compliance and discovery.

Here are three attributes to look for when evaluating the search functionality of a cloud-based email archive:

Multiple search options
Don’t settle for just wildcard and Boolean searches. Take advantage of the other search options available and the granularity they provide. Look for a solution that also includes proximity, fuzzy logic and custom query searches.

Filtering and tagging capabilities
What good is archiving information and being able to search for it, if you can’t narrow down the search results and categorize them? Filters help target specific and relevant results and weed out those you don’t need. Look for a solution that provides the ability to filter and tag search results.

Flexible data export
Some archives have zero flexibility: export of search results is all or nothing; individual messages and attachments can’t be downloaded. Some archives allow data to be exported only as a PST or proprietary file type. Look for a solution that enables flexible data export as PST, EML, NSF, PDF, HTML and TXT files.

Add data protection and search capabilities to Office 365

Add data protection and search capabilities to Office 365

Using Office 365? for data protection?

What are you doing for archiving? Office 365 is a robust offering with a wide range of capabilities, but archiving is among the limitations of the platform’s native functionality.

Archiving is a necessity (and part of good data governance) for nearly every business, especially those in heavily regulated industries. But at what cost? Archiving is included only with the Office 365’s top-of-the-line Enterprise E3 package. Conversely, five of the six Office 365 packages don’t include archiving at all.

If you have archiving needs and you’re an Office 365 customer, consider adding a third-party solution.

Sonian’s cloud-based email archiving service provides advanced data protection, search capabilities and additional features that exceed the native offerings of Office 365.

See for yourself…

Sonian’s email archive provides added data protection.
With Sonian, every sent and received email message is archived using immutable WORM storage. Data is stored in its original state and is not editable in any way – a stark contrast with Office 365 archiving. Office 365 archived data is editable and changes are tracked via a recoverable items folder. For heavily regulated and litigiously intensive businesses, this just doesn’t fly.

Sonian’s email archive provides superior search capabilities.
Once messages and file attachments are archived, data is easily accessed and retrieved by business users, such as the legal team, without help from IT. Unlike Office 365, Sonian has no limitations on the number of mailboxes per search, the volume of results per search or the number of concurrent searches.

Sonian’s email archive provides added data availability.
Data accessibility is peace of mind. Unfortunately, the Microsoft cloud experienced a number of outages in 2014 and availability averaged 99.98%. The Sonian cloud provides data availability of 99.9999999% for consistent access to archived content.

Protect your business data with management, storage and archiving best practices

Data management woes related to email are in the headlines – again.

This time, the story is about a massive data breach at Sony that exposed personal information about employees and has resulted in a class-action lawsuit related to the email leaks, according to the LA Times.

This is just the latest in a growing number of email scandals. From Target to the IRS, stories about businesses and government agencies with email and data retention troubles are all over the news lately.

If you’re not preserving and protecting the intellectual property and other valuable data in your email, instant messages and file attachments, you’re putting your organization – and maybe even yourself – at unnecessary risk.

Boost protection
For years, organizations of all sizes have been struggling with challenges related to the unprecedented growth of unstructured data, the pressure to retain an ever-increasing share of that information and the diminishing benefits of traditional storage products.

Meanwhile, in the past decade or so, mailboxes have grown from several megabytes to 100s of megabytes. Now, the average corporate mailbox is allocated more than 10 gigabytes of storage – and the trend shows no sign of relenting. Those electronic communications are loaded with confidential data, intellectual property and all kinds of other critical business information.

For most businesses, cloud archiving is a viable solution to help overcome the increasingly common data storage, management and security challenges. To protect that critical information sent and stored in email, it makes sense to periodically offload that data from the server and to instead preserve it in a secure cloud archive. Data that isn’t stored on the server can’t be stolen in the event of a breach!

Beyond the risk of a data breach and other threats, maintaining large data stores also impedes the performance of the IT infrastructure and applications. Mail systems buckle under the weight of giant data stores. Network latency increases as backup windows span an ever-growing portion of the business day. Users are less productive when their email servers are unresponsive. Businesses risk losing profits when critical applications are slow and unstable!

Cut costs
The storage of user-generated data places an ever-increasing drain on budgets, focus and productivity. Businesses have tried to address the data explosion by buying more storage. In addition to the capital outlay, each new array consumes focus. New servers need to be installed, networked, configured, maintained, backed up and monitored by IT. Each consumes valuable data center space, power and cooling. Many are included in disaster recovery plans, de-duplicated and replicated to a secondary site. In the end, the direct and indirect expenses of on-premise storage systems are considerably higher than the budget line items ever reflect.

Today, off-site means off-loaded; less equipment in house results in less hassles and costs all around. That’s the reason so many IT professionals are moving their businesses away from maintaining traditional on-premises storage.

With a cloud archive, you slash your data storage footprint, maintenance and expenses. There’s no hardware of software to buy, maintain or upgrade. Plus, you get unlimited storage and unlimited retention for an affordable and predictable cost. The archive scales as your data grows and there are never any additional storage charges – ever.

Protect your data, your business and yourself – before there’s an issue. See all the benefits of cloud archiving right now!

Optimize data preservation with cloud archiving

By

Optimize data preservation with cloud archivingThere’s more to data preservation than just backup!

Backup is for recovery. Archiving is for discovery. Why aren’t you leveraging the benefits of both?

Here are three reasons it makes sense to integrate backup and cloud archiving.

Cloud archiving cuts data-storage costs.
By integrating archiving, you eliminate the continuous capture and storage of data that’s unlikely to be accessed. As a result, you decrease the amount of in-house storage needed for backup and also decrease the associated costs.

Reducing redundant and static data with a well-aligned archiving strategy can save up to 60% of backup costs, according to a report by Gartner.

Cloud archiving improves operational efficiencies.
An integrated archiving and backup strategy ensures optimization of your storage repositories and also reduces the number of redundant copies of data you’re capturing and retaining.

Optimizing storage and eliminating redundancy simplifies data management.

Cloud archiving provides better support for compliance audits and discovery requests.
By integrating archiving, it’s fast and easy to search and retrieve all critical and relevant data when you need it. You can find exactly what you need in seconds. Anyone who’s had to search backups for data knows how time consuming and hard it is.

Optimizing backup and archiving policies for the purpose of information governance decreases the time and effort it takes to respond to end-user requests for data.

Integrating cloud archiving and backup cuts storage costs, improves efficiency and makes it easier to find data.

Cut business costs and hassles with cloud archiving

Fact: If you’re archiving on-premises, you’re wasting money.

Take advantage of cloud economics! Here are some key benefits of archiving in the cloud to preserve and protect your intellectual property and other valuable business data.

Archiving in the cloud saves you money.
On-premises archiving is expensive and expansive, with costs exploding at the same astronomical rate as your critical information.

With cloud archiving, you get unlimited storage and unlimited retention for an affordable and predictable cost. The archive scales as your data grows and there are never any additional charges.

Archiving in the cloud decreases your on-site data footprint.
IT professionals are constantly asked to do more with less, which is why so many are moving away from maintaining local equipment. Today, off-site means off-loaded; less equipment in house results in lower costs and fewer hassles.

With cloud archiving, there’s no hardware or software to buy and no maintenance to perform.

Archiving in the cloud is fast and easy to implement.
There’s no need to have someone onsite for days or even weeks of implementation. There’s no need to have someone on-site at all – ever.

With cloud archiving, you can be up and running in less than 20 minutes.

Archiving in the cloud cuts costs, eliminates hardware acquisition and maintenance and is super easy to implement.
