CWS Capital Partners LLC Deploys Sonian for Email Archiving Capabilities
NEEDHAM, MA –- May 12, 2010 -– Sonian, a provider of on-demand, hosted corporate data archiving services powered by the cloud, today announced that it has been selected by CWS Capital Partners LLC as the archiving platform for the company’s Novell GroupWise platform. The deployment allows CWS to meet FINRA regulations and effectively allocate IT resources away from the time-consuming task of manually searching millions of emails to prove compliance. With Sonian’s cloud-based hosted archiving platform, CWS now has access to all employee-generated emails in real time.
CWS is one of the nation’s largest investment management firms, specializing in real estate. With a portfolio exceeding $1.5 billion and 15,000 housing units, CWS has 500 employees dispersed regionally across the country. As an investment management firm, CWS must comply with all FINRA regulations, including those that mandate how records must be stored. Under FINRA rules, electronic records must be preserved exclusively in a non-rewriteable and non-erasable format.
Prior to deploying Sonian’s on-demand, cloud-powered solution, a search request for an audit, lawsuit or internal query mandated that IT personnel scour backup tapes of all employee email, which could take up to two weeks. By selecting Sonian’s hosted solution, the need for manual search is eliminated; now, CWS can now easily retrieve email anytime, anywhere, cutting the search time down to seconds.
“We chose Sonian to provide hosted email archiving because its cloud computing capabilities enable it to easily handle the volume of data that needed to be archived, and scale up as needed. Sonian delivered a compliant solution that allowed us to allocate IT resources more efficiently—a must-have in the financial world,” said David Greene, director of information technology at CWS Capital Partners. “Sonian has far exceeded initial expectations. The product only took minutes to implement, and our IT team has been able to free up time to work on more important mission-critical projects.”
Along with ease of use and the freeing of IT resources, another important factor was choosing a non-disruptive technology that was compatible with CWS’ existing email system, GroupWise. Sonian’s partnership with Novell and deep knowledge of GroupWise enable smooth integration with the platform and seamless archiving of GroupWise-based data.
“By selecting Sonian for its GroupWise archiving needs, CWS is saving time, money and resources,” said Greg Arnette, founder and CTO of Sonian. “With on-premise server archiving, companies still need to back up that data, making it a costly and inefficient solution. By moving its electronic communication to the cloud, CWS employees and IT staff now have full access to all emails from their GroupWise platform in seconds, easily meeting FINRA regulations and eDiscovery needs as they arise.”
With this deployment, CWS is now compliant with all necessary FINRA regulations pertaining to email communication, and has made a lasting investment in the preservation of its records, improved the performance of the GroupWise platform and created significant cost savings, allowing employees to focus on the day-to-day business of the company.
